Most corporate travel RFPs focus on discounts. In our experience discounts are the least important variable, because they are largely determined by airline and hotel contracts you cannot see. What actually determines whether a travel programme works is service design.
On billing and compliance
1. Will we receive a single GST-compliant invoice with delegate-level cost breakdowns? 2. How are input tax credits handled on hotel and airline bookings? 3. What is the standard payment cycle, and are credit terms available?
On the service model
4. Do we get a named account manager, or a shared queue? 5. What is the guaranteed response time during business hours, and after them? 6. Who answers at 2am when a traveller is stranded in Frankfurt? Name them.
On policy and control
7. Can travel policy be enforced at the point of booking, not just reported afterwards? 8. How are exceptions approved, and is the audit trail exportable? 9. What reporting do we get on spend by cost centre, route and traveller?
On capability
10. Can the same partner handle visas, forex, insurance and MICE, or will we manage four vendors? 11. What is the largest group you have delivered in the last year, and can we speak to that client? 12. What happens when something genuinely fails — a cancelled flight for twenty delegates on a Sunday?
